Terms of Use

Effective and last updated: 11 August 2026

These terms govern use of Trackbook HRMS, operated by Newish Technology. Your organization may have a separate service agreement with us; that agreement controls if it expressly conflicts with these public terms.

Authorized workplace use

You may use Trackbook only through an account authorized by your employer or organization. You must provide accurate information, protect credentials and approved devices, and promptly report suspected unauthorized access. Administrators are responsible for assigning appropriate roles, configuring features and obtaining workforce notices, permissions or consents required for the data they direct the service to process.

Acceptable use

You must not misuse another person’s account or identity; bypass access, tenant, device, geofence or face-verification controls; submit unlawful or malicious content; probe or disrupt the service; introduce malware; scrape data without authorization; or use workplace information outside your authority. Camera, location, KYC, payroll, communications and customer features must be used only for legitimate organizational purposes and in accordance with applicable law and employer policy.

Service features and records

Features depend on an organization’s plan, configuration, permissions, device capabilities and third-party availability. Automated face matching, location readings, routing, transcript summaries, payroll calculations and generated reports can require human review. Employers remain responsible for employment decisions, payroll approval, statutory filings, customer records and the lawful use of outputs.

Accounts, suspension and deletion

Organizations or administrators may deactivate workforce access. We may restrict access when reasonably necessary for security, abuse prevention, legal compliance, non-payment under an applicable agreement, or service protection. A deletion submission is a request for review, not immediate deletion. We may verify identity and coordinate with the employer; some records may be retained for legal, payroll, attendance, tax, security, backup or dispute purposes. See the account-deletion page.

Ownership and feedback

Newish Technology and its licensors retain rights in the Trackbook software, branding and service design. Organizations and users retain their rights in information they lawfully submit. You grant us the limited permission needed to host, process, transmit and display that information to operate and secure the service. Feedback may be used to improve Trackbook without requiring compensation.

Availability and responsibility

We work to keep the service secure and available, but interruptions, maintenance, network failures and third-party outages can occur. Nothing in these terms excludes rights or responsibilities that cannot lawfully be excluded. Any specific warranties, service levels, liability allocations, payment terms or dispute procedures are those stated in the applicable organization agreement or required by law; this page does not create unsupported guarantees or waive mandatory rights.
